ID Card photo

The University ID card provides evidence of membership of the University for staff, students and campus partners. It enables correct access to buildings on campus including the Library, and printing provision. It contains name, a unique ID number, a photograph and employment status; staff, visitor, student, campus partner. University cards are issued in strict accordance with University Policy.  Cards are issued on the first day of employment or study and are valid for the duration of a contract.

Technical Requirements for the Digital Photo

Your photo must be:

  • clear and in focus
  • in colour (NOT black and white)
  • be approximately 300 pixels wide and 400 pixels tall, which is 4cm x 5cm (at a resolution of 200 pixels per inch)
  • be less than 4MB (megabyte) in size
  • have a file format of JPEG (.jpg extension) ONLY

What your digital photo must show

The digital photo must:

  • contain no other objects or people
  • be taken against a plain light-coloured background
  • be in clear contrast to the background
  • not have ‘red eye’
  • Include ONLY your head and shoulders

Appearance and Positioning Requirements

Your photo must:

  • be a recent photo of you
  • be facing forwards and looking straight at the camera (i.e. vertical, portrait)
  • have a plain expression and your mouth closed
  • have your eyes open and visible
  • not have hair in front of your eyes
  • not have a head covering (unless it’s for religious or medical reasons)
  • not have anything covering your face
  • not have any shadows on your face or behind you

Do not wear glasses in your photo unless you must do so.  If you must wear glasses, they cannot be sunglasses or tinted glasses, and you must make sure your eyes are not covered by the frames or any glare, reflection or shadow.

Background
Three example showing how the image background should look. Light-coloured is correct. Textured and object in the background - incorrect.
Lighting
Three example showing how the image lighting should look. Even lighting is correct. Shadow on face and behind head are incorrect.
Headwear
Three example relating to headwear. Religious headwear is acceptabe. Fashion accessories and headwear are not acceptable
Eyes
Three examples relating to the visibility of the eyes. Eyes should be fully visible. Glasses or hair covering eyes are not acceptable.
