The University is committed to being transparent about how we collect and use data to meet our Data Protection obligations. Please see the Staff Privacy Notice for further detail on how your data is used and stored.

All data collected is anonymised and allows us to respond to requests for information and monitoring statistics from the Higher Education Statistical Agency (HESA) including legal requirements regarding equity, diversity and inclusion to monitor and publish reports and statistics on protected characteristics.

  • Your Personal Details: Title, Pronouns, Preferred first name.
  • Your Contact Details: Ensure your current home address and contact details are correct.
  • Your Emergency Contact: Confirm or amend your emergency contact details.
  • Your Sensitive Information: Verify that all sensitive data is up to date.

Keeping your personal details current is crucial to helping us to maintain effective communication and ensuring that you or any primary contacts can be promptly reached in case of an emergency.

We request your co-operation in answering these questions on a voluntary basis. All published data is anonymised. In each case there is an option to select prefer not to say, which informs us that you have chosen not to disclose the information (except nationality, which is mandatory for immigration purposes). Under the Equality Act 2010, we are required to eliminate discrimination, advance equality of opportunity, and foster good relations between people who share protected characteristics and those who do not.  Accurate data helps us to monitor our progress and develop policies that are inclusive and fair.  Importantly, it also helps us to improve our staff experience.

Marital Status

This allows you to indicate your marital or registered civil partnership status.

Religion

Allows you to indicate your religion or belief.

Ethnic Origin

Allows you to indicate your ethnicity.

Nationality

This option is locked and is taken at application stage - this is mandatory for immigration purposes.

Sex Identifier

Allows for you to indicate what best describes your sex.  This should be the sex as recorded on a legal document such as birth certificate, Gender Recognition Certificate or passport.  The options given are as stipulated by HESA which includes “other” for international staff where a third sex option is legally recognised by another country.  In the UK HM Revenue and Customs require your Sex at birth (Male or Female) which you will have provided on your job application - this field cannot be seen from my.HR.  If the Sex Identifier field is left blank we will take the details you gave on your job application. 

Gender Modality

Allows you to indicate whether your gender identity corresponds to your sex assigned at birth.

Allows you to indicate your current gender identity.

Sexual Orientation

Allows for you to indicate your sexual orientation.

Self-certified disabled

Allows is for you to indicate if you have a disability

Disability description

Allows you to provide details of your impairment/health condition. The Equality Act 2010, defines disability as a physical or mental impairment that has a ‘substantial’ and ‘long-term’ negative effect on your ability to do normal daily activities.
