Feedback Survey Respondents

What personal information do we hold about you?

We could ask you for your name, email address, phone number or date of birth.

Why do we collect your information?

If you’ve provided your consent to be entered into a prize draw or for us to contact you further in relation to the service we provided; when contacting you further we may ask your express permission for use of your feedback in the marketing of Loughborough Sport; your consent can be withdrawn at any time by contacting us at sdc@lboro.ac.uk.  If we’ve asked for your date of birth, it’s for the legitimate interest of understanding how we can improve our service for different age groups.  All data provision requested in our surveys is voluntary and there will be no consequences for failing to provide the data except where it’s in relation to a prize draw; in this instance failure to provide an email address or phone number will disqualify you from the draw (as will not be able to identify you as a prize winner).  Your personal data rights and advice on the steps you can take to protect these rights can be found at https://ico.org.uk/your-data-matters/

Who has access to your data at the University?

Your data will be kept in an electronic format in secure University systems and limited to management teams at the Sports Development Centre; to access these systems you must have a verifiable University account.

Who do we share your data with outside the University?

There will be no sharing of your personal data outside the University. However anonymised statistical reports which summarise the data could be shared within Loughborough Sport which includes the Loughborough Students’ Union and Loughborough College. The only other 3rd party with whom we may share summaries of the data are our lease providers, specifically those who provide our gym / sports equipment and develop / maintain our leisure management / ticket selling software.

How long do we keep your information?

Any contact data provided in relation to a prize draw will be deleted upon the award of the prize(s).  All other personal data will be kept for no more than 12 months.
