Before leaving

1. Prepare for IT offboarding

  • List all software, systems, and workspaces you access.
  • Identify any shared drives or folders that need transferring.
  • Handover the management of any accounts they will continue to be used. 
  • Ensure your workspace is GDPR compliant—securely dispose of sensitive data. 
  • Download payslips from my.HR as access will be removed. 
  • Remove any applications form personal devices including MS Office. 
  • Any external or social accounts need to be updated if you have used a university email address.

2. Data backup and transfer 

  • Transfer important files from your University OneDrive or Workspace to a shared area.
  • Group workspaces – assign to another ‘owner’ or delete if no longer required. 
  • MS Teams team(s) – if owner, reassign to another 2nd or more owner   .  
  • Consider any teams recording and any MS Forms that may need to be transferred.
  • Software (SaaS / teaching) – assigning to other owners or request removal if no longer used.    
  • Update any accounts (e.g., job applications, subscriptions) that use a university email.
  • Forward essential emails to colleagues
  • Email and Data backups:  
      • IT Services do not provide support for the mass export of mailbox items. Whilst saving of individual items is possible you should ensure you are aware of the legalities of keeping this data e.g. If it contains data that they are not entitled to retain a copy of, such as PII, research, or commercially sensitive data, then this action would be in breach of policy.
