Appendices A and B describe the recruitment timeline and responsibilities for LSU and Schools/departments.
Recruitment Phase 1 - Part B, C, D and I
Semester 2 of the Academic year prior to the Course Representatives taking up the role
Week 1
Schools to share information on Rep roles and responsibilities.
Start of week 5
Recruitment opens.
End of week 7
Recruitment closes.
Week 8
LSU staff and Executive Officer look through applications received.
End of week 9
LSU to inform Schools on appointed rep details and vacant positions for ratification.
End of week 10
Schools to inform LSU on ratification results.
End of week 11
LSU to inform students of results.
End of Sem 2
Deadline for LSU to send out training.
Recruitment Phase 2 - Part A, Foundation, PGT and any vacant positions from Phase 1

Responsibilities for LSU and Schools/Departments
Area: REP RECRUITMENT & APPOINTMENT
LSU Responsibilities:
- Coordinate the appointment process.
- Contact Schools/Departments to request a key contact.
- Provide guidance and timelines for recruitment and training.
- Provide application materials and promotional support.
- Share information on Rep roles and responsibilities with students (including via social media).
- Review and anonymise applications.
- Appoint Reps via a panel of LSU staff and Executive Officer.
- Communicate with Reps and Schools on filled positions
Schools/Departments Responsibilities
- Provide LSU with key contacts.
- Maintain up-to-date list of Courses/Programmes requiring Reps.
- Share information on Rep roles and responsibilities with students.
- Promote vacant positions and submit student names to LSU on time.
- Ensure Reps only represent Courses/Programmes they are enrolled on.
- Update relevant staff on applications timeline and process.
Area: TRAINING
LSU Responsibilities:
- Provide compulsory training (online/in-person) for all Reps before commencement.
Schools/Departments Responsibilities:
- Provide Reps with School-specific briefing and School-specific SSLC processes.
Area: SSLC MEETINGS
LSU Responsibilities:
- Receive SSLC dates, minutes, and attendance records.
- Monitor Rep engagement and support attendance.
Schools/Departments Responsibilities:
- Organise and schedule SSLC meetings to be shared with Reps
- Book rooms and ensure accessibility (dual delivery if needed).
- Co-chair meetings with School Representative.
- Ensure action points are followed up.
Area: MONITORING & SUPPORT
LSU Responsibilities:
- Track Rep engagement and performance.
- Provide additional support or training if performance concerns arise.
- Liaise with Schools on issues regarding SSLC’s or Rep performance.
Schools/Departments Responsibilities:
- Support Reps in performing their role.
- Escalate concerns to LSU if needed.
- Ensure feedback from joint honours students is communicated to partner Schools.
Area: FEEDBACK & REPORTING
LSU Responsibilities:
- Encourage and support effective student representation.
- Work with Schools to address gaps in representation.
- Receive SSLC minutes and action trackers for monitoring.
Schools/Departments Responsibilities:
- Ensure action points from SSLCs are completed and reported.
- Circulate SSLC minutes and action tracker to all members, LSU, and Academic Experience Executive Officer within 10 working days.
- Follow up on feedback from surveys, module evaluations, and External Examiners.
Area: JOINT RESPONSIBILITIES
LSU Responsibilities:
- Collaborate to ensure all students’ voices are effectively represented.
- Promote diversity and inclusion in representation.
- Facilitate positive change based on student feedback.
Schools/Departments Responsibilities:
