Performance Sport: Code of Conduct & Expected Standards
This code of conduct sets out our expectations regarding behaviour and commitment to your performance sport programme.
General
- I understand for selection to the squad I will need to demonstrate that I have the appropriate and necessary skills and commitment, and that my performance, fitness and lifestyle are at the required level. I understand that selectioninvolves complex judgements about the attributes of individuals and their potential contribution to a team or squad.Selection policy information can be found here https://www.lboro.ac.uk/sport/performance/.
- I understand that I am expected to compete for Loughborough University in all British Universities and Colleges Sport (BUCS) competitions and national league competitions when selected.
- I appreciate to demonstrate those matters detailed in paragraph 1 above I will need to liaise with coaching & performance support staff. I will respond to correspondence (emails, text messages, phone calls etc.) within a reasonable time frame.
- I am aware the University encourages relationships with coaches, performance support staff and fellow athletes that develop openness, honesty, mutual trust, and respect.
- In circumstances where I cannot make training or competition I will inform performance programme staff in a timely manner.
- I will bring to the attention of the programme lead for my sport any contract or other restriction that might impede my ability to compete for the University. I will inform the programme lead for my sport immediately if I am requested to compete for another organisation, club or squad and understand this may affect my continued involvement in the performance squad at Loughborough University.
- I confirm I have read the risk assessments1 relating to my sport and facilities and I will comply with them.
- If there is one, I confirm I understand the Policy & Expectations document for my sport. A copy of this is available from the Head Coach.
Image and Behaviour
- I will comply with the rules of my sport and at all times act in a way that will project a favourable image of Loughborough University, Loughborough Students’ Union and their partners.
- I understand that I must always comply with all University rules and regulations.
- I will ensure I project a favourable image of myself, Loughborough University, Loughborough Students’ Athletic Union and their partners when engaging with any media, including social media sites (eg Facebook, Twitter). This includes refraining from posting inappropriate images or statements on any site.
- Whilst participating in any media commitments or promotional activities I will use reasonable endeavours to recognise the support I received from Loughborough University and Loughborough Students’ Athletic Union.
- I will wear Loughborough kit whenever possible during media commitments.
- I understand that Loughborough Sport enters into sponsorships to support the sport programmes and I may be asked from time to time to participate in activities to support a commercial partnership. I will use reasonable endeavours to contribute to this activity. I will not be asked to endorse specific products or services unless I am comfortable.
- I will inform the University if I enter into personal sponsorship or endorsement contracts.
- I have read and am aware of my responsibilities in relation to the University’s Clean Sport Commitment adhere to UK Anti-Doping guidelines and seek qualified support from our performance nutrition team.
- I will stay up to date and comply with the current doping control rules, regulations, and procedures for my sport, and I will ensure that any form of medication or substance that I take is not prohibited. I will neither possess, supply, nor use illegal or prohibited drugs, and will not abuse any substance including alcohol. I will ensure that the Deputy Director of Sport (Performance Director) is fully informed of any drug-related offences in which I may be involved.
- I agree not to share, post, upload, or distribute any competition or training footage provided by or taken from the programmesactivities on personal or public social media platforms (e.g., Instagram, TikTok, YouTube, X/Twitter, Facebook, etc.) without prior written consent from the programme.
About My Personal Data
- This section explains what data you hold about me, why you hold it and my rights.
- I understand you will collect data about me during training and matches/competition for coaching purposes. The data will be shared with coaching staff and IDTs as appropriate and held securely using a university approved system.
- I understand you will share my performance data with the Athletic Union, other clubs or teams competing in the same competitions as LU and the relevant national governing body for my sport. This is to fulfil your reporting obligations to governing bodies and competitive leagues.
- If I am a student at Loughborough University or Loughborough College, I understand you may access my academic performance data (managed by Academic Registry at the University or through the academic team at Loughborough College) to ensure I am maintaining satisfactory progress.
- I understand that Loughborough Sport may be informed if you are accessing Student Services so we can best support your needs within our sports setting.
- I understand the University will retain any payment records for 6 tax years, in accordance with statutory requirements. All personal details are kept with secure access restricted by robust University systems.
- I have the right to request a copy of any data you hold about me. I can also require you to correct, erase or restrict processing of data, providing this does not conflict with your legal obligations. If I have any concerns about my data, I will speak with my coach in the first instance. If advised to do so, I will then put my request in writing to dp@lboro.ac.uk.
Medical Information Sharing
- I understand that my permission may be sought on a case-by-case basis, to share medical information with members of the interdisciplinary team (IDT) which may include sport coaches, doctors, physiotherapists, sports therapists, S&C coaches, physiologists, nutritionists, performance analysts, sports psychologists and lifestyle c
- I understand that, should I give permission, information regarding my pre-existing and current injuries sustained may be shared with the coaching staff and IDT for my sport, plus my national governing body for sport and other partner organisations for my sport.
- I understand that the IDT and coaches would wish me to share any diagnosis, prognosis, ongoing treatment, pre-existing conditions, medications provided or recommended by a healthcare provider (eg NHS, private medical insurance company) outside of the university system.
- I understand that I always have the right to withdraw my consent for my information to be shared within the IDT and with coaching staff. I realise this will not affect my access to medical care or treatment.
- I understand I have the right to request a copy of the medical records you hold about me at any time (not just when I am involved in my chosen sport). I also understand that my records will be maintained securely in accordance with the relevant legislation. This will be for 8 years after treatment; after the 25th birthday of the patient if they were under 18 when treatment concluded; or after the 26th birthday if they were under 17 when treatment concluded.
- If I want to request a copy of any personal data, I will email dp@lboro.ac.uk. The full Privacy Notice in relation to our Physiotherapy Clinic is available on request from physioreception@lboro.ac.uk.
- Data from my physical testing, baseline screening and injury surveillance may be used anonymously for research purposes. No data will be used in a way that enables identification of the individual and will be in accordance with GDPR guidelines and protocols. If I do not want my data to be used for research purposes I will email dp@lboro.ac.uk.
Breach of Code of Conduct
- I understand that if I fail to demonstrate the required commitment and behavioural standard set out in this Code of Conduct this will be dealt with by the Head Coach and the Loughborough Sport Deputy Director of Sport (Performance Director)
- Sanctions may include:
- Suspension or permanent removal from the programme
- Removal of privileges afforded to members of a performance squad such as PowerBase access at performance session
- Informing relevant third parties such as your national governing body of sport or the Talented Athlete Scholarship Scheme (TASS).
- More serious breaches may be referred to the relevant University body and dealt with through the University disciplinary ordinances.
Consent to Disclose Personal Information
- Whilst competing for Loughborough University, and after I have left, I consent to the use and reproduction of my name, image, nickname, signature, voice, biographical information, photographs, film, and recordings of my performance in events, activities, or media connected with the University for promotional work. [This is on the condition that such a use will not imply a direct or indirect endorsement by me of any parties’ products or services].
- I understand you may choose to video and photograph training sessions, competitions/matches to assist coaching feedback and for promotional purposes. This may include short interviews to camera. By signing this agreement, I give my consent to these activities, noting that I have rights in respect of this material, covered later in this section. I also expect you to confirm with me how and when the video and images will be shared, including the use of social media. If I have any concerns about this, I will raise them with my coach in the first instance.
