Camps and Workshops

These Terms and Conditions apply to all camps and workshops, such as masterclasses, coaching clinics, development and skills sessions delivered by Loughborough Sport and/or Loughborough Lightning.

These terms are in addition to your statutory rights.

1. Definitions

In these Terms and Conditions:

Camp/Workshop means any camp, masterclass, coaching clinic, holiday programme, workshop, or activity organised by Loughborough Sport or Loughborough Lightning.

Participant means the individual registered to attend a training Camp or Workshop.

Parent/Guardian means the parent, legal guardian, or responsible adult with authority to make decisions on behalf of a Participant under the age of 18.

Loughborough Sport includes Loughborough University, Loughborough Sport, Loughborough Lightning, their employees, coaches, volunteers, contractors, and authorised representatives.

2. General

2.1 By booking a Camp, the Parent/Guardian and Participant agree to comply with these Terms and Conditions.

2.2 Loughborough Sport reserves the right to amend these Terms and Conditions where reasonably necessary. Any revised version will be published on the Loughborough Sport website and will apply from the date of publication.

2.3 Event-specific conditions may apply to individual Camps and will be communicated at the point of booking.

 

3. Eligibility and Registration

3.1 Participants must satisfy any published age, ability, experience, or eligibility requirements applicable to the Camp or Training Workshop.
3.2 All bookings are subject to availability.
3.3 Participants, or Parents/Guardians where the Participant is under the age of 18, are responsible for ensuring that all booking information provided is accurate, complete, and up to date.
3.4 Loughborough Sport reserves the right to refuse or cancel a booking where eligibility requirements are not met or where participation may present a health, welfare, safeguarding, or safety concern.

4. Bookings and Payment

4.1 Full payment is required at the time of booking unless otherwise stated.

4.2 A booking is not confirmed until payment has been successfully received and a confirmation has been issued.

4.3 Bookings must be completed before the advertised booking deadline.

4.4 Places are allocated on a first-come, first-served basis.

4.5 Loughborough Sport reserves the right to close bookings once capacity has been reached.

Refunds and Cancellations

5.1 Participants may cancel their booking by notifying Loughborough Sport in writing.

5.2 Fees paid are non-refundable or transferable.

5.3 Refund requests due to injury or illness may be considered where appropriate medical evidence is provided before the Camp commences.

5.4 No refunds will be given for:

  • Missed sessions.
  • Holidays.
  • Personal commitments.
  • Transport issues.
  • Withdrawal from the Camp.

 

 

6. Medical Information and Welfare

6.1 Participants, or Parents/Guardians where the Participant is under the age of 18, must disclose all relevant medical information at the time of booking, including:
• Medical conditions
• Allergies
• Medications
• Dietary requirements
• Physical, learning, behavioural, or additional support needs
6.2 Participants, or Parents/Guardians where applicable, are responsible for ensuring that all medical and welfare information provided remains accurate and up to date.
6.3 Loughborough Sport reserves the right to request additional information where reasonably necessary to support safe participation.
6.4 Failure to disclose relevant medical, behavioural, or welfare information may result in participation being refused, suspended, or withdrawn where safety, welfare, or safeguarding may be compromised.
6.5 Participants, or Parents/Guardians where the Participant is under the age of 18, are responsible for determining that the Participant is medically fit to attend and participate in activities.

6.6 Participants should not attend if illness, injury, or a medical condition may place themselves or others at risk.

6.7 Loughborough Sport reserves the right to refuse participation, withdraw participation, or require medical clearance where it reasonably believes attendance may present a health, safety, welfare, or safeguarding concern.

7. Emergency Medical Treatment

7.1 Loughborough Sport will administer or arrange appropriate first aid where required.

7.2 For Participants under the age of 18, Parents/Guardians authorise Loughborough Sport to seek appropriate emergency medical treatment where reasonably necessary and where contact cannot be established in sufficient time.

7.3 Adult Participants authorise Loughborough Sport to arrange emergency medical assistance where reasonably believed necessary for their health, safety, or welfare.

7.4 Any associated medical treatment costs remain the responsibility of the Participant or Parent/Guardian unless otherwise covered through NHS services or alternative healthcare arrangements.

Code or Conduct

9.1 Participants must:
• Treat staff, coaches, volunteers, officials, and fellow participants with respect.
• Follow all reasonable instructions issued by Camp staff.
• Behave in a manner that supports a safe and inclusive environment.
• Respect facilities, equipment, and property.
9.2 Participants and accompanying adults must not engage in:
• Bullying
• Harassment
• Discrimination
• Violence
• Abusive or threatening behaviour
• Deliberate damage to property
• Conduct likely to disrupt the delivery of activities
9.3 Loughborough Sport reserves the right to take appropriate action to address breaches of this Code of Conduct.

10. Removal from a Camp or Workshop

10.1 Loughborough Sport reserves the right to remove any Participant whose behaviour:
• Places themselves or others at risk
• Breaches safeguarding requirements
• Is abusive, threatening, discriminatory, or disruptive
• Fails to comply with reasonable instructions from staff
10.2 Where a Participant under the age of 18 is removed from a Camp/Workshop, their Parent/Guardian may be required to arrange immediate collection.
10.3 Where an Adult Participant is removed from a Camp/Workshop, they may be required to leave the venue immediately.
10.4 Refunds will not be provided where removal results from misconduct or breaches of these Terms and Conditions.

11. Photography, Video and Marketing

11.1 Photography, filming, video recording, live streaming, and other media capture may take place during Camps and Workshops.
11.2 By attending a Camp or Workshop, Participants, and Parents/Guardians where applicable, acknowledge that images and recordings may be captured for:
• Coaching and performance review
• Marketing and promotional materials
• Social media content
• Educational and training purposes
• Historical and archival records
11.3 Loughborough Sport will process personal data and imagery in accordance with applicable legislation and University policies.
11.4 Where consent is required, appropriate consent procedures will be followed.

12. Personal Data

12.1 Personal information will be processed in accordance with applicable data protection legislation and Loughborough University's Privacy Notice.

12.2 Information collected may be used for:

  • Booking administration.
  • Health and safety purposes.
  • Safeguarding.
  • Emergency contact procedures.
  • Service communications.

 

13. Camp Changes and Cancellations

13.1 Loughborough Sport reserves the right to:

  • Change coaches.
  • Change venues.
  • Alter session times.
  • Modify activities.
  • Adjust Camp/Workshop content where reasonably necessary.

13.2 Loughborough Sport may cancel or postpone a Camp/Workshop due to circumstances including:

  • Low participant numbers.
  • Extreme weather.
  • Venue unavailability.
  • Staff illness.
  • Safety concerns.
  • Circumstances beyond reasonable control.

13.3 If a Camp/Workshop is cancelled by Loughborough Sport, participants will be offered either:

  • A full refund; or
  • A transfer to an alternative Camp/Workshop, where available.

 

 

 

14. Personal Property

14.1 Participants are responsible for personal belongings brought to a Camp/Workshop.

14.2 Loughborough Sport accepts no responsibility for lost, stolen, or damaged property except where caused by its negligence.

15. Liability

15.1 Participation in sporting and physical activities involves inherent risks.

15.2 Nothing in these Terms and Conditions excludes or limits liability for:

  • Death or personal injury caused by negligence.
  • Fraud or fraudulent misrepresentation.
  • Any liability that cannot legally be excluded.

15.3 Subject to clause 15.2, Loughborough Sport shall not be liable for indirect or consequential loss arising from participation in a Camp/Workshop.

 

16. Safeguarding

16.1 Loughborough Sport is committed to providing a safe, inclusive, and positive environment for all Participants regardless of age.
16.2 Participants, Parents/Guardians, staff, coaches, volunteers, contractors, and spectators are expected to comply with relevant safeguarding and welfare procedures.
16.3 Any safeguarding, welfare, or wellbeing concerns should be reported immediately to a member of staff.
16.4 Additional safeguarding measures may apply to activities involving children, young people, or adults at risk.

 

17. Governing Law

17.1 These Terms and Conditions shall be governed by the laws of England and Wales.

17.2 Any dispute arising under these Terms and Conditions shall be subject to the jurisdiction of the courts of England and Wales.
